Opening an EgreedMail account, creating mailboxes and moving your team over.

What is EgreedMail?

EgreedMail is a business email and encrypted cloud storage platform built by Egreed Tech in Kigali, Rwanda. It gives companies mailboxes on their own domain, file storage with sharing controls, and an admin console — priced in Rwandan francs.

How do I create an EgreedMail account?

Open the sign-up page, choose a username, and add your name, job title and department. The first account created for an organisation becomes the administrator and can provision mailboxes for the rest of the team.

Do I need a credit card to start?

No. You can start on the free single-mailbox tier without any card, and only pay when you add team mailboxes or extra storage.

Do I need an existing email address to sign up?

No. EgreedMail sign-up is username based, so staff without a personal email account can still be given a company mailbox.

How long does setup take?

Creating the workspace and first mailboxes takes a few minutes. Adding your own domain takes as long as your DNS provider needs to publish the records, usually under an hour.

Can I try EgreedMail before moving my whole company?

Yes. Most teams start with two or three pilot mailboxes on a subdomain, then move the main domain once they are satisfied with delivery and workflow.

How many mailboxes can one organisation have?

There is no hard cap. Small teams typically run 5 to 50 mailboxes; larger institutional deployments are handled by our Kigali team.

Can I import mail from Gmail or Outlook?

Yes. Existing mail can be migrated during onboarding, and you can keep forwarding from the old provider while staff switch over.

Does EgreedMail work on mobile?

Yes. The workspace is a progressive web app, so it installs to a phone home screen and works on Android and iOS without a separate download.

Is there a desktop app?

The web workspace can be installed as a desktop app from Chrome or Edge, giving you a standalone window, notifications and offline caching.

What happens to my data if I stop paying?

Your mailboxes become read-only rather than deleted, so you can export mail and files before closing the account.

Can I use EgreedMail as a school or NGO?

Yes. Schools, NGOs and cooperatives are a large share of our users, and we offer institutional deployment support for them.

Can I use EgreedMail with my own company domain?

Yes. EgreedMail runs corporate mailboxes on your own domain. You point your MX records at Egreed Tech and each staff member gets an isolated, policy-controlled mailbox.

Which DNS records do I need to add?

An MX record for inbound mail, an SPF record authorising our relay, a DKIM record for signing, and optionally a DMARC record to set your policy. The admin console shows the exact values for your domain.

How long do DNS changes take to work?

Usually 15 to 60 minutes with Rwandan and regional registrars, though propagation can take up to 24 hours.

Can I send and receive mail from Gmail, Outlook, Yahoo and Proton?

Yes. External mail is delivered over an authenticated relay with SPF and DKIM signing, while internal staff-to-staff mail never leaves Egreed infrastructure.

Why do my messages land in spam?

Almost always because SPF, DKIM or DMARC is missing or misaligned. Run the DNS validation wizard in the admin console and fix any record it flags.

What is SPF?

SPF is a DNS record listing which servers may send mail for your domain. Without it, receiving providers cannot tell your mail from a forgery.

What is DKIM?

DKIM adds a cryptographic signature to each outgoing message so recipients can prove it was not altered and really came from your domain.

What is DMARC and should I use it?

DMARC tells receivers what to do when SPF or DKIM fails. Start at p=none to collect reports, then move to quarantine and reject once your mail passes consistently.

Can I have several domains on one account?

Yes. Multiple domains and subdomains can point at the same workspace, each with its own mailboxes and aliases.

Can one person have multiple addresses?

Yes. A mailbox can carry aliases such as sales@ or info@ that deliver into the same inbox, and you can choose which address to send from.

Can I create a shared team inbox?

Yes. Shared addresses like support@ can be routed to several mailboxes so the whole team sees the conversation.

Do you support catch-all addresses?

Yes, a catch-all can collect mail sent to unknown addresses on your domain, though we recommend explicit aliases to reduce spam.

Can I forward mail to another address?

Yes. Forwarding rules can be set per mailbox, with the option to keep or discard the local copy.

Is there a message size limit?

Individual messages including attachments are limited to keep delivery reliable across providers. Large files should be shared as a Drive link instead.

Can I keep my old provider running during migration?

Yes. Many teams run both for a week or two by forwarding from the old provider until MX records are switched fully.

Does EgreedMail support IMAP or POP clients?

The workspace is browser-first. Client access is handled case by case for institutional deployments — contact our team if you require it.

What happens when someone leaves the company?

An administrator can suspend the mailbox, transfer its mail, and convert the address into an alias so nothing sent to it is lost.

Can I recall a message I already sent?

Messages sent internally can be withdrawn before they are read. Mail already delivered to an external provider such as Gmail cannot be recalled — use scheduled send as a safety net.

Using the inbox

Search, labels, filters, bulk actions, scheduling and keyboard shortcuts.

How does search work in EgreedMail?

The search bar accepts plain text plus operators such as from:, to:, subject:, has:attachment, is:unread, label: and before:/after: dates, with autocomplete as you type.

Can I combine several search operators?

Yes. Operators combine, so from:finance has:attachment after:2026/01/01 narrows to exactly what you need.

How do labels differ from folders?

A message can carry several labels at once, whereas a folder is a single location. Labels let you file the same thread under a client and a project.

Can I automate what happens to incoming mail?

Yes. Filters match on sender, recipient, subject or keywords and can label, archive, mark important, forward or delete automatically.

What are the message categories at the top of the inbox?

Primary, Social and Promotions tabs separate real correspondence from newsletters and notifications so your main inbox stays readable.

How do I act on many messages at once?

Select messages with the checkboxes and use the bulk toolbar to mark read, star, flag important, archive, trash, report spam, mute, categorise, move or delete forever.

Can I snooze a message?

Yes. Snoozing hides a thread until the time you choose, then returns it to the top of the inbox.

Can I schedule a message to send later?

Yes. Choose a send time in the composer and the message queues until then, which is useful for business-hours delivery across time zones.

Can I set a message to expire?

Yes. Messages sent to other EgreedMail users can carry an expiry time after which the body is no longer readable.

Are read receipts supported?

Yes, receipts can be requested per message. They are reliable for internal mail; external providers may block them.

Can I save reusable replies?

Yes. Templates store frequently used text such as quotations or onboarding instructions and insert into the composer in one click.

Can I add a signature?

Yes. Each mailbox can have its own signature with name, job title, department and company details, applied automatically to new mail.

Are there keyboard shortcuts?

Yes, and they follow the conventions most users already know: c to compose, e to archive, r to reply, / to search, and j/k to move through the list.

How are conversations grouped?

Replies are threaded by conversation so the full exchange reads top to bottom instead of arriving as separate messages.

Can I mute a noisy thread?

Yes. Muting keeps future replies out of your inbox while leaving them searchable.

Can I mark something important without starring it?

Yes. Stars and importance are separate signals, so you can star what you must action and flag importance for what matters long term.

Is there an undo for accidental deletions?

Yes. Deleted mail sits in trash for a recovery window before it is removed permanently.

Can I work offline?

Recently viewed mail and files are cached, so you can read and draft on a dropped connection and everything syncs when you are back online.

Security and privacy

Encryption, mailbox isolation, tracker blocking and the auto-lock system.

Where is my data stored and who can read it?

Files sit in private storage reachable only through short-lived signed links, and every mailbox is isolated by row-level security, so no one outside your organisation can list or read your data.

Is mail encrypted?

Message bodies are encrypted at rest with AES-256-GCM, and all traffic between your browser and our servers is encrypted in transit.

Can Egreed Tech staff read my email?

No. Mailbox access is enforced in the database per user, and message bodies are stored encrypted rather than as readable text.

Does EgreedMail block tracking pixels?

Yes. Remote images can be blocked by default, tracking pixels are detected and stripped, and link tracking parameters are removed before you click.

What is the auto-lock feature?

After a period of inactivity your session locks behind a six-digit PIN, with a countdown warning first and synchronisation across every open tab.

What if I forget my PIN?

You can recover access with your account password after repeated failed attempts, and the event is written to your security log.

Are login attempts logged?

Yes. Sign-ins, lock events and PIN failures are written to an append-only activity log you can review, without ever recording the PIN itself.

Do you support two-factor authentication?

Session locking with a PIN is built in, and additional authentication factors are available for institutional deployments.

How are administrator rights controlled?

Roles live in a dedicated privileges table checked on the server. A role cannot be granted from the browser or by editing a profile.

Are files publicly accessible by URL?

No. Storage buckets are private and every download goes through a signed URL generated for an authorised request.

Is my data used to train AI or sold to advertisers?

No. Your mail and files are never sold, shared with advertisers, or used to train models.

What happens if I lose my device?

Sign out of all sessions from security settings; the locked device then requires your PIN and password before anything can be read.

Do you keep backups?

Yes. Mail and files are backed up, and Drive keeps version history plus a recoverable trash window before permanent deletion.

Can I get a security review for a tender?

Yes. Our Kigali team can walk a compliance officer through the architecture and the controls in writing.

Is EgreedMail suitable for handling personal data of clients?

Yes, and it is designed for exactly that: contracts, records and personal data governed by your organisation rather than scattered across consumer inboxes.

What is EgreedDrive?

EgreedDrive is the encrypted file storage inside your workspace, with folders, version history, favourites, trash and controlled sharing.

How large a file can I upload?

Uploads of up to 5 GB per file are supported using resumable transfers.

What happens if my connection drops mid-upload?

The upload resumes from where it stopped instead of restarting, which matters on mobile data.

Can I organise files in folders?

Yes, with unlimited nesting, plus starter templates for school, business and media workspaces.

Does Drive keep older versions of a file?

Yes. Each new upload of the same file creates a version you can preview and restore.

What happens to deleted files?

They move to trash and can be restored during the recovery window before permanent deletion.

Can I mark files as favourites?

Yes, and there is a recents view so the documents you touched today are one click away.

Can I preview files without downloading them?

Yes. Images, video and PDFs preview inline in the browser.

What is Egreed Cloud?

Egreed Cloud is long-term archival storage. You can copy Drive files and mail attachments into it to keep records without filling your working space.

Can I save an email attachment straight to storage?

Yes. Each attachment has a save action, and once stored it shows an indicator linking to the archived copy.

How do I see how much storage I am using?

The Drive analytics view shows total usage, largest files and growth over time.

Can two people work in the same folder?

Yes. Workspace membership controls who can see and change a shared folder tree.

Is there a limit on the number of files?

No practical limit; storage is billed by total space rather than file count.

Can I download a whole folder?

Yes, folders can be downloaded, and large trees are packaged for a single transfer.

Pricing and billing

How much does business email cost in Rwandan francs?

Plans start free for a single mailbox, with team plans billed per mailbox per month in RWF. The pricing page lists current rates.

Why do you price in RWF instead of dollars?

Because local businesses budget in francs. Dollar pricing adds exchange-rate padding and often requires an international card.

Do I need an international card to pay?

No. Local payment methods are supported so you are not blocked by card requirements.

Do you issue invoices?

Yes. Invoices suitable for company accounting and tender documentation are issued for every billing period.

Can I change plans later?

Yes. Upgrade or downgrade at any time; billing is adjusted from the change onwards.

Is there a discount for annual payment?

Yes, annual billing is cheaper than paying monthly. Contact sales for the current rate.

Are there discounts for schools and NGOs?

Yes. Institutional pricing is available — contact our Kigali team with your organisation details.

What happens if I add a mailbox mid-month?

It is prorated, so you pay only for the remaining days in that period.

Is storage billed separately from mailboxes?

Each plan includes a storage allowance, and additional space can be added without changing your mailbox count.

Can I cancel at any time?

Yes. There is no lock-in contract on standard plans, and you can export your data before closing the account.

Administration

The admin console, user management, roles, audit logs and reporting.

What can an administrator do?

Provision and suspend mailboxes, manage roles, review the security audit log, revoke share links, monitor storage and volume, and run the DNS validation wizard.

Who becomes the first administrator?

The first account created for an organisation. That user can then promote others.

Can there be more than one administrator?

Yes, and we recommend at least two so you are never locked out.

Can I see how much mail the organisation sends?

Yes. The admin overview reports volume, delivery status, active users and storage consumption.

Can I reset a user's password?

Yes. Administrators can trigger a reset without ever seeing the existing credential.

Can I enforce the auto-lock policy for everyone?

Yes. Inactivity locking can be required organisation-wide rather than left to each user.

Are administrator actions logged?

Yes. Role changes, suspensions and link revocations are written to the append-only audit log.

Can I export the audit log?

Yes, for compliance reviews and tender documentation.

How do I check whether inbound mail is configured correctly?

The console includes an inbound webhook status view and DNS checks that flag any missing record.

Can I set naming rules for mailboxes?

Yes. Naming policy such as firstname.lastname can be enforced at provisioning time.

Troubleshooting

Delivery problems, sign-in issues, upload failures and error messages.

My outgoing mail is not arriving. What should I check first?

Run the DNS validation wizard. Missing or misaligned SPF and DKIM records are the cause in the large majority of delivery failures.

A message bounced. How do I read the reason?

The message shows its delivery status, and bounces carry the reason reported by the receiving provider, such as an unknown mailbox or a policy rejection.

I cannot sign in. What now?

Confirm the username rather than an email address, reset the password from the sign-in page, and check whether the session is locked behind your PIN.

My session keeps locking too quickly.

Increase the inactivity timeout in security settings, or ask an administrator if the organisation policy sets a fixed value.

An upload failed part way through.

Retry from the error notice; the transfer resumes rather than starting again. Persistent failures usually mean the storage quota is full.

A file will not preview.

Preview supports common image, video and PDF formats. Other types download instead, and the retry action re-signs an expired link.

A share link says expired but I only just created it.

Check the expiry and the maximum download count on the link, and confirm the device clock is correct.

Images in a message are not showing.

Remote image blocking is on by default for privacy. Use the privacy panel to load images for that sender.

The inbox looks empty after signing in.

Check the category tab and any active search filter, then clear filters to see everything.

Attachments are missing from a forwarded message.

Confirm the attachment was included before sending; very large files should be shared as a Drive link instead.

Why did an external provider mark my domain as suspicious?

New domains have no sending reputation. Ramp up volume gradually and publish a DMARC policy to build trust.

Who do I contact if none of this helps?
